Central Poll Supervisor Guidebook – Advance Polls

Close the polling place Monday

  1. Ask election officers to sign Time sheet for the Election Worker EC 11655 before they leave
  2. At 8 p.m., tell election officers to finish serving electors. Electors who arrive before are allowed to vote
  3. Lock doors after last elector has voted
  4. Remind
    • all election officers to follow the steps in their guidebook
    • all DROs and Poll Clerks to also follow Closing Advance Polls - Daily Procedures poster EC 50025
  5. Put any filled out Incident Reports EC 10051 in Large All-Purpose Envelope EC 11520.
    Seal envelope with 1 Official Seal EC 50180
  6. Put white copies of Authorization of a Candidate's Representative EC 20020 in 1 Candidates' Representatives Authorization Forms Envelope EC 50423.

  7. Collect from all Information Officers and Registration Officers
    • Alphabetical List of Electors by Site
    • Poll Key
    • EC 50255 VIC Collection Box
    • all other supplies
  8. Put Alphabetical Lists of Electors in Large All-Purpose Envelopes EC 11520.
    Seal each envelope with 1 Official Seal EC 50180
  9. Ask Information Officers to recycle all signs and posters
  10. Take all Polling Site Accessibility Feedback Forms EC 50119 out of Accessibility Feedback Box EC 50121.
    Recycle the box.
    Write the date on each form, if not already written.
    Put all forms in 1 Accessibility Envelope EC 50122.
    Put Verification of Accessible Facilities Booklet EC 50115 in the envelope
    Note: as each team of DRO and Poll Clerk completes Step 3 on the poster, they will call you over
  11. For each polling station
    • complete spot check
    • photocopy bingo sheets for any representatives, if possible, or allow them to take a picture with their mobile device
    • instruct DRO to seal envelopes from Steps 1 to 3
    • watch DRO do Steps 4, 5b and 6
    • write initials beside Steps 3 to 6 and sign poster
    • collect

      • EC 50390 Registration and/or Correction Certificates Envelope
      • EC 50025 Closing Advance Polls - Daily Procedures poster
  12. Inspect the room to make sure nothing was left behind
  13. Lock up polling place. Return keys to contact person, if applicable
  14. Bring to the office
    • EC 11520 Large All-Purpose Envelopes with Lists of Electors and Incident Reports
    • EC 50025 Closing Advance Polls — Daily Procedures posters
    • EC 50122 Accessibility Envelope
    • EC 50255 VIC Collection Boxes
    • EC 50390 Registration and/or Correction Certificates Envelopes
    • EC 50422 Oath of Residence Certificates Envelopes
    • EC 50423 Candidates' Representatives Authorization Forms Envelope
    • EC 11655 Time sheet for the Election Worker that contains any updates to hours worked
    • all other supplies
    Note: DROs keep the ballot boxes in a safe place until election night, unless the office gives other instructions
