Deputy Returning Officer and Poll Clerk Guidebook – Advance Polls

Prepare to serve electors Friday

  • Step 1
    • Deputy Returning Officer
      • Write your name and 'Deputy Returning Officer' on Election Personnel Identification Card EC 50210 and put it on. Wear it at all times
    • Poll Clerk
      • Write your name and 'Poll Clerk' on Election Personnel Identification Card EC 50210 and put it on. Wear it at all times
  • Step 2
    • Deputy Returning Officer
      • Assemble 1 Advance Poll Ballot Box EC 50251.
        Check under flaps and show everyone at your table it is empty
  • Step 3
    • Deputy Returning Officer
      • Write advance polling station number and tick day on box
    • Poll Clerk
      • Write electoral district name and polling station number on all forms and envelopes on the table.
        Fill out cover page of Advance Poll Book EC 50070.
        Pull Book of Oaths for Advance Polls out of Advance Poll Book.
        Give it to DRO
  • Step 4
    • Deputy Returning Officer
      • Seal top and bottom long edges with 2 Long Ballot Box Seals EC 50200.
        Seal top and bottom short edges with 4 Short Advance Poll Ballot Box Seals EC 50195.
        Copy numbers from long seals to Seal Control Sheet EC 50205
    • Poll Clerk
      • Fill out Record of Votes Cast at the Advance Polling Station EC 50080 with
        • date
        • electoral district name
        • advance polling station number (e.g. 601)
        • page number
          Note: start with #1 at the bottom left. Once first page is full, start a new one
  • Step 5
    • Deputy Returning Officer
      • Put box on table in view of everyone present
    • Poll Clerk
      • Fill out Statement of the Electors Who Voted at the Advance Poll EC 50109 (bingo sheet) with
        • electoral district name
        • advance polling station number (e.g. 601)
        • date
        • ordinary polling stations assigned to your advance poll as listed on Notice of Advance Poll EC 10140
        Once page is full, sign it, put it in Registration and/or Correction Certificates Envelope EC 50390 and start a new one
  • Step 6
    • Deputy Returning Officer
      • Count all ballots.
        Make sure total matches the number of ballots on Notice to Deputy Returning Officer EC 10002
    • Poll Clerk
      • Review
        • List of Electors
        • Poll Key
        • Statement of Changes, if applicable
        • EC 50070 Advance Poll Book
  • Step 7
    • Deputy Returning Officer
      • Initial the back of each ballot in one booklet without removing them.
        Once you have used all ballots in first booklet to serve electors, initial ballots in next booklet
    • Poll Clerk
      • Put all other supplies in green Advance Poll Bag EC 50480. Put it under the table
  • Step 8
    • Deputy Returning Officer
      • Review your Deputy Returning Officer's Book of Oaths for Advance Polls EC 50071
  • Step 9
    • Deputy Returning Officer
      • With Poll Clerk, review voting procedures to make sure you understand them
    • Poll Clerk
      • With DRO, review voting procedures to make sure you understand them
  • Step 10
    • Deputy Returning Officer
      • At 12 p.m., serve electors
    • Poll Clerk
      • At 12 p.m., serve electors
