Situations with List of Electors (for deputy returning officers)

Elector has ID that differs from information on list

If the elector's ID closely matches information on the list and you are sure they are the same person, serve them following the regular process. If you are not sure, follow steps below.

  1. Read oath 3 to elector Book of Oaths p. 7
  2. In Poll Book p. 4, Poll Clerk
    • writes Elector information
    • ticks box for oath 3
  3. Serve elector following regular process

Elector has minor errors with their information on list

  1. Poll Clerk pre-fills Correction Certificate EC 50051
  2. Make sure certificate is properly filled out
  3. Tick box for correction needed certificate section 2
  4. Tick Yes box certificate section 2
  5. Read oath 3 to elector Book of Oaths p. 7
  6. In Poll Book p. 4, Poll Clerk
    • writes Elector information
    • ticks box for oath 3
  7. Sign and date certificate
  8. Put it in Registration and/or Correction Certificates Envelope EC 50390
  9. Serve elector following regular process

Elector is not on the list

This elector is not registered. They may have a pre-printed or pre-filled Registration Certificate EC 50050.

  1. If elector does not have a Registration Certificate EC 50050
    • check they are at the right polling station
    • Poll Clerk pre-fills Registration Certificate
  2. Make sure certificate is properly filled out
  3. If it is a by-election, in section 2, write Revision Date found at the front of this guidebook
  4. Get elector to read and sign declaration on certificate
    Note: elector can tick box if they don't want their name to be added to the National Register of Electors
  5. Sign and date certificate
  6. In Poll Book p. 12, Poll Clerk
    • writes Elector information
    • ticks Registration box
  7. Put it in Registration and/or Correction Certificates Envelope EC 50390
  8. Serve elector following regular process

Elector crossed off with code M-, T- or R

This elector is not registered at the correct address.

  1. If elector does not have a Registration Certificate EC 50050
    • check they are at the right polling station
    • Poll Clerk pre-fills Registration Certificate
  2. Make sure certificate is properly filled out
  3. If it is a by-election, in section 2, write Revision Date found at the front of this guidebook
  4. Get elector to read and sign declaration on certificate
    Note: elector can tick box if they don't want their name to be added to the National Register of Electors
  5. Sign and date certificate
  6. In Poll Book p. 12, Poll Clerk
    • writes Elector information
    • ticks Registration box
  7. Put it in Registration and/or Correction Certificates Envelope EC 50390
  8. Serve elector following regular process

Elector crossed off by Poll Clerk, or with code S or X

This elector needs to take oath 4.

  1. Poll Clerk pre-fills Correction Certificate EC 50051
  2. Make sure certificate is properly filled out
  3. Tick box for correction needed certificate section 3
  4. Get elector to read and sign written oath 4 certificate section 3
  5. Sign and date certificate
  6. In Poll Book p. 4, Poll Clerk
    • writes Elector information
    • ticks box for oath 4
  7. If candidate or representative objects to the elector receiving a ballot, using Notable Events section of Poll Book p. 29, Poll Clerk writes
    • name of candidate
    • reason
  8. Put it in Registration and/or Correction Certificates Envelope EC 50390
  9. Serve elector following regular process
